Managed client file sharing · Hosted in Europe
Secure File Sharing with Clients in Europe
Give your team a private Nextcloud workspace for sending, receiving, organizing, and reviewing client documents. Replace scattered email attachments with controlled folders, secure links, File Drop, and European hosting.
- Client uploads without permanent accounts using File Drop
- Password-protected and expiring sharing links
- Private managed workspace with a DPA available
From email attachments to a controlled workspace
One place to exchange client documents.
Keep requests, uploads, working files, and final deliverables in a private Nextcloud environment instead of spreading copies across inboxes and personal storage accounts.
Bring document exchange together around Nextcloud.
A better file exchange model
Why businesses move client files out of email.
Email remains useful for communication. A dedicated workspace gives your organization better control over where documents live, who can access them, and how long sharing remains available.
Control who sees each client folder
Assign access to specific employees, groups, or named external users instead of exposing unrelated client documents.
Receive files without creating accounts
Use upload-only File Drop links when clients only need to submit documents and should not browse existing contents.
Choose a European data location
Run your managed workspace in an available European data center and request a Data Processing Agreement for Business plans.
Keep the platform managed
TAB.DIGITAL handles infrastructure, Nextcloud updates, monitoring, and backups while your team manages clients, folders, and permissions.
Clear scope: the service provides secure file sharing and collaboration. It is not a CRM, payment portal, automated document-request workflow, qualified e-signature platform, or a guarantee of GDPR compliance. Your organization remains responsible for legal basis, retention, access policies, and internal procedures.
Your client document workspace
Everything your team needs to share files safely.
Nextcloud brings everyday document exchange into one private workspace—so employees can collect, review, and deliver files without operating the underlying server.
Client folders and permissions
Organize documents by client, project, engagement, or team and assign access at user or group level.
File Drop uploads
Let clients upload documents through a selected link without viewing the folder or creating a permanent account.
Protected external sharing
Add passwords, expiration dates, and permissions to public links and revoke access when it is no longer needed.
Office collaboration
Review and edit supported documents together in the browser while keeping working files in the same environment.
Activity and administrative audit
Use normal activity and version history in Core. Advanced adds administrative audit logging for stronger oversight.
European infrastructure
Your client workspace, hosted in Europe.
Keep your managed Nextcloud environment on European infrastructure and select an available location that fits your organization’s operational and data-residency requirements.

Business Cloud plans
Start with your team. Grow when you need.
Both plans include a private managed Nextcloud environment, European hosting, platform updates, monitoring, backups, and a 30-day trial.
Moving client files into Nextcloud
You do not have to change every workflow at once.
Test one real document exchange process first, confirm how clients should upload or access files, and expand the workspace when the structure works for your team.
Choose one client workflow
Start with a recurring document request, project exchange, onboarding folder, or final-deliverable process.
Try secure sharing with real files
Create separate folders, test File Drop and protected links, and confirm how employees and clients experience the process.
Add clients at your own pace
Roll out the agreed folder structure, user groups, sharing rules, domain, and preferred European hosting location.
Can clients upload documents without creating an account?
Yes. Nextcloud File Drop allows your team to create an upload-only link. A client can submit files without viewing the existing folder contents or receiving a permanent user account.
Can every client have a separate private folder?
Yes. You can organize folders by client, project, engagement, or department and grant access to selected users and groups. A named client account is useful when the client needs ongoing access to both upload and download files.
Do client accounts count toward the plan user limit?
Yes. Named users count toward the included limit of 25 users in Core or 50 users in Advanced. Clients who only submit documents through File Drop or use selected public-link workflows do not need permanent accounts.
Can sharing links be protected and revoked?
Yes. Nextcloud supports link passwords, expiration dates, and sharing permissions. Your team can remove a share when the exchange is complete or access is no longer required.
Does the service provide an audit trail?
Core includes normal Nextcloud activity and version history. Business Advanced adds administrative audit logging and is the recommended plan when your organization needs stronger visibility into user and file activity.
Is this a complete client portal or CRM?
No. It is a managed file collaboration workspace for collecting, sharing, reviewing, and delivering documents. It does not replace CRM, invoicing, payment processing, automated request workflows, or qualified electronic signature software.
Is the service automatically GDPR compliant?
No service makes an organization automatically compliant. TAB.DIGITAL provides European data locations, a DPA, access controls, and managed infrastructure that can support your GDPR responsibilities. Your organization remains responsible for legal basis, retention, permissions, notices, and internal procedures.
Where can client documents be hosted?
Available Business locations include the Netherlands, Germany, Sweden, Italy, and Latvia. Availability depends on the selected service and current infrastructure capacity.
Can we use our own company domain?
Yes. Business plans support custom domain integration, allowing your workspace to use a recognizable address such as cloud.yourcompany.com.
How much does secure client file sharing cost?
Business Core costs €61 per month for up to 25 users and 1 TB. Business Advanced costs €146 per month for up to 50 users and 5 TB, with administrative audit logging, integrations, and 24/7 premium support.
